Nature of Duties/Responsibilities:
- Assist management with administrative tasks, answering phones, data entry etc. for various departments.
- Interface with building leasing company to ensure all issues are addressed and managed
- Make arrangements for both domestic and international travel, including expense report
- Preparation of correspondence, reports and presentations.
- Manages schedule for customer, supplier and executive visitors including initial reception and screening.
- Remove roadblocks for team members on site from executing to their day to day jobs
- Coordinate activities with on site IT personnel as needed or requested
- Generate various reports as requested by management
- Hosts and prepares meetings for customer, supplier, auditor and executives etc.
- Arranges company events, catered meals, etc.
- Data entry and management of Sales Orders, Change Orders and credit/rebill transactions.
- Backlog monitoring and actions for management of weekly plant on-time delivery performance.
- Management of plant service providers and contractors (i.e. Security patrols, Janitorial, Grounds, Property Managers etc.)
- Order supplies and other maintenance, repair & operations (MRO), pcard purchases including reconciliation of bank transactions for MRO pcard purchases.
- Other administrative tasks as assigned.
Education and Experience:
- Minimum of 2 years experience working in a corporate environment and in product development organization
- Ability to handle confidential information with the highest degree of professionalism.
- Excellent Microsoft office skills (Power Point, Excel and Word).
- Excellent verbal and written communication skills.
- Background in technical writing/editing is a plus.
- Must be able to multitask in a high paced environment and have excellent organizational skills.
